As of January 2026, 25Live replaces Ad Astra as SCU’s space reservation and event planning platform. All SCU students, faculty, and staff may access the software via the new 25Live tile on their MySCU portal or via the button below. Both will require that you enter your Single Sign On (SSO) credentials.
If you plan events or book space on campus, we invite you to register for one of the in-person, hands-on training sessions being offered January 5-15. These in-person training sessions will cover submitting the 25Live Event Form to reserve campus spaces, requesting event resources, and showing you how to monitor the progress of your event requests during the approval process. Please register for a session that suits your schedule.
We recognize that switching systems means coming up to speed with the new software, and we’re here to ensure the transition is as seamless as possible. 25Live offers an intuitive platform with features that will make scheduling easier and more efficient for the whole campus. We’ve created a full suite of product information and step-by-step training resources that you can access 24/7.
While the majority of campus classroom and event space is reservable through 25Live, there are still small conference rooms, labs, and study rooms that will maintain their current reservation process. The University Event Planning Office maintains a list of all University Schedulers and Building Managers that will help you find the appropriate contact for these spaces.
- Please note that the contact information changes often. Request space directly via the unique event request forms for those schedulers listed or, for those schedulers that do not have a form, contact them directly to inquire about reservations.

A: 25Live is a comprehensive event scheduling and space management software designed for colleges, universities, and other institutions. It helps manage and streamline the process of scheduling classes, booking rooms, planning events, and coordinating resources.
Santa Clara University is switching from Ad Astra to 25Live to create a centralized, modern, and more efficient scheduling system for the entire campus. Ad Astra, in use since 2004, has become outdated and difficult to use and its limitations make it unsuitable for SCU’s current needs. Most importantly, a centralized system like 25Live is critical for supporting campus-wide coordination, planning, and emergency response by providing accurate, real-time information about space usage. Fully supported by President Sullivan, 25Live will streamline scheduling, enhance communication, and improve coordination across all departments.
- 25Live will be open for new event requests on Monday, January 5, 2026
- Please continue using Ad Astra for event requests through December 17, 2025
- There will be an event request "blackout period" from December 18, 2025 through January 4, 2026. All approved Ad Astra event data will be migrated into 25Live during that period.
- Space requests that are approved in Ad Astra will NOT need to be re-requested in 25Live.
- Trainings for event requesters have been scheduled starting on December 8 and will continuing through early January.

25Live will be available to all SCU faculty, staff and students and can be accessed through SCU’s single sign on (SSO) on the MySCU portal page.
A "required custom attributes" error means that one of the questions on the request form was left unanswered. To fix it, carefully review each field, making sure every toggle is selected and every question box is completed, including ones like Further Information or Additional Details. In 25Live terminology, Custom Attribute is just another word for "question," so the error is simply a prompt to finish the form in full. This message is unrelated to the "No Items Available" button.
