Computer Hardware and Software Sourcing

This guide provides information on what is needed to order standard and non-standard computer hardware, software, printers and other technology products as well as other useful information.

Computer Hardware

  • Standard Apple and Dell hardware configurations do NOT require a quote and can be ordered through the WD punch outs (Apple and Dell).
  • Non-standard Apple and Dell configurations require a quote – Send email to Quotes@scu.edu with requested product specs.

The University does not typically source non-Apple and Dell computers for general work use. 
Procurement and Information Technology can review requests for specialized research workstations sourced from other suppliers. No hardware and software support will be provided by IT for research workstations, though the hardware must have the required security software installed.

  • Once the research machine is received, it will need to be brought to the IT Help Desk for asset-tagging and so that it can be connected to the correct SCU network.

The standard printer brand is HP as determined by the IT team.  Please see the Computer Hardware Recommendations page for standard printer offerings.  These offerings typically do not require a quote however obtaining a quote can provide current cost information for ordering.  Contact Purchasing to confirm pricing.

Software

The Supported Software and Downloads page provides a comprehensive list of software that is supported by the IT department.  Any software that is not on the supported applications list should be reviewed by IT for a security assessment as it pertains to the SCU network and OGC to review the EULA for liability issues.

  • Adobe products 
    • Named User Licenses for Acrobat Pro, Creative Cloud, etc. are orderable via requisition in Workday.  A requisition is required for ordering this software.
    • Credit Card Subscriptions are not authorized and will not be reimbursed via expense reports or p-card reconciliations.
      • Any existing credit card subscription(s) should be cancelled and a new license ordered through Purchasing.
  • Adobe Sign
    • We have an enterprise level site license agreement for Adobe Sign for electronic signature collection.  Contact Purchasing for information on how to request a named user license to be assigned.
  • Other Software products:
    • Information Services will set standards for all Santa Clara University technology acquisitions, whether purchased or obtained at no cost (including hardware, software, cloud or externally hosted systems, licensing and services), and all such acquisitions must undergo a formal review by Information Services to ensure they meet standards for support, accessibility and security compliance prior to acquisition.

Personal Purchases

Personal purchases for computers and software are addressed on IT's Personal/Student Purchases page.  These purchases are made independent of any Workday processes and are paid for directly by the requester to the supplier using a personal credit card or other payment method.
