SCU supports faculty/staff traveling abroad on university-sponsored international travel. To make sure you receive support, use the 1-Minute Faculty/Staff Travel Registry to register your travel. See FAQs about university-sponsored international travel and additional resources below.
1-Minute Faculty/Staff Travel Registry
- Deadlines
- Register travel no later than 4 weeks prior to anticipated departure.
- If you are also requesting an International Travel Policy exception, submit your request no later than 6 weeks prior to anticipated departure.
- Registration should be submitted by this deadline even if certain aspects of travel such as funding have not been confirmed.
- Include airports you will transit through and list them in the countries/areas
After you register your travel via the 1-Minute Registry, you will receive an email with a copy of your responses and important reminders.
This Travel Registry allows faculty/staff to request an exception to the University International Travel Policy within the regular international travel registration process. Policy exception requests will require travelers to gather additional information to respond to questions and you can preview policy exception request questions. Normally, policy exception requests are reviewed by the Travel Policy Advisory Committee (TPAC) and the Provost within 15 business days. Travelers will receive notification via email.
Travel Preparation
The University advises that while abroad, avoid areas with demonstrations. Demonstrations may happen with little or no warning. In addition, terrorists may target tourist locations, major sporting and cultural events, and other public areas that attract large numbers of civilians. Actions you should take:
- Exercise caution if in the vicinity of large gatherings or protests
- Monitor local media for updates
- Be aware of your surroundings
- Keep a low profile
- Notify friends and family of your safety
- Take care with political speech abroad and on social media
SCU travelers on university-sponsored business are covered by SCU International Emergency Medical Insurance and Travel Assistance through International SOS, which provides emergency medical support, security, and logistical support abroad. Some countries may be excluded from coverage due to high levels of risk.

Preparation that all SCU travelers should take to prepare for travel includes:
Travel Advisories & Health Information
- Review U.S. Department of State Travel Advisories and alerts for your destination. Identify and comply with all visa, health insurance, and vaccination/medication requirements for your destination.
- Review the Centers for Disease Control Health Information and follow all location-specific guidance.
Passport & Registration
- Verify your passport is valid for at least six months beyond your anticipated return date. Keep a photocopy of the inside photo pages separate from your passport.
- Register with the U.S. Embassy abroad through the US Department of State Smart Traveler Enrollment Program (STEP) prior to departure.

Health & Insurance Coverage
- Verify your vaccinations and boosters are current prior to travel.
- Understand your U.S. based health insurance coverage and its validity in the country/area of travel and reimbursement process. Although the SCU travel insurance policy through Chubb/International SOS will work as your primary abroad, it will not cover routine or cosmetic procedures.
Safety & Security Awareness
- Remain knowledgeable about your location through reputable news sources regarding changing health and safety conditions prior to departure and be prepared to make adjustments to ensure health and safety, as needed.
- Sign up for International SOS safety and security email alerts for your destination(s) using your SCU email or membership number. This is required if you are requesting a policy exception.
- Download the International SOS Assistance App for real-time travel alerts, one-click emergency assistance, and live chat with 24/7 medical and security specialists.
1-Minute Travel Registry Information and Links
- SCU’s policy requiring university-sponsored international travel to be approved has been in place since 2004. Read the University International Travel Policy.
- Register all university-sponsored international travel through the 1-Minute Registry including:
- Travel using departmental funds to attend a conference
- Travel using departmental funds to conduct research or hold meetings overseas
- Travel using grants that are administered through SCU in any way
- Do not register:
- Personal travel, including personal travel to visit a son/daughter who is studying abroad through SCU
- Domestic travel
- What if I want to do work in a country or area of a country with a Department of State Travel Advisory Level 3 or 4? The University International Travel Policy prohibits university-sponsored travel in countries or areas with a DOS Advisory Level 3 or 4. SCU maintains a process for faculty/staff by which exceptions to university policy may be reviewed by the Travel Policy Advisory Committee and considered by the Provost. If a policy exception is approved by the Provost, travelers are required to register for International SOS safety and security email alerts for travel destination(s).
