As part of Workday Implementation, SCU Information Technology (IT) converted academic records only from those students who were enrolled in at least one course between fall 2016 and summer 2023.
The primary goal of converting this historical data was to generate transcripts, and so data unrelated to transcripts may not have been converted.
Only courses for which a grade was assigned were included in the conversion process; thus associated laboratory components that did not receive a grade were excluded from the conversion. If your program offers many subordinate lab sections, Institutional Research (IR) recommends using Program Review data from the "Cohort Fall 2023" cycle for years prior to 2023-2024.
Courses that formed part of a combined section but had no direct enrollment were not converted.
Sessions from standard terms prior to Fall 2023 are incorporated, specifically for Fall 2022, Winter 2023, and Spring 2023. Sessions from terms prior to Fall 2022 were not converted.
Some courses that were offered across multiple sessions were consolidated into a single course, assigned to the earliest session; other courses were assigned to the first session with different course section number.
Certain study abroad courses completed by students were integrated into an equivalent on-campus course bearing the same course title and catalog number. These were not necessarily tagged as Study Abroad; IR subsequently revised the code, when feasible, to assign proper Study Abroad status.
Study Abroad programs, previously administered through University Programs, are now located within their respective academic departments, so individual programs will show greater counts of Study Abroad courses.
Instructors for historical courses were not migrated to Workday; however, IR revised the data to incorporate instructors from PeopleSoft records for the corresponding courses. The University chose to convert data only pertinent to transcripts; much data was left out.
Due to the consolidation of courses as part of the conversion process outlined previously, there may be instances where instructors are not fully represented.
Courses were converted based on data available at the end of the term, which exclude students who were initially reported as of the census date but subsequently dropped the course before the before the deadline to drop without a “W”; this improves accuracy in unit production reporting and comports with the IR revised census dates which were inaugurated in fall 2023.
Grades from a substantial number of courses were not properly propagated in Workday due to an incorrect assignment of course grade control attribute; IR has revised these data to populate these ‘missing’ letter grades.
The Workday conversion process necessitated the idiosyncratic consolidation of multiple sections, resulting in a reduced number of sections with increased enrollment counts.
